Coordinated Multi-Day Event Coverage in San Francisco

When WaitWhat, the media company behind Masters of Scale with Reid Hoffman, asked us to capture their annual summit, they needed a partner capable of operating at production speed. The event spanned multiple days, five venues across San Francisco, an offsite excursion, and 4 simultaneous VIP dinners, all with near real-time delivery needs.

The Challenge

WaitWhat’s production team needed a streamlined way to capture, edit, and organize thousands of images across their multi session program. In previous years, their archives had become unmanageable due to inconsistent naming, file organization, and missing metadata. This time, they needed a system that not only would be delivered fast, but made every image searchable and usable after the event. In addition to photography, they also required professional video capture of all facets of the event.

Our Solution

We scaled an amazing team of four photographers, two videographers, and one on-site editor to work in full coordination.

  • Designated zones and shot lists kept coverage seamless across venues.
  • Live communication via group text allowed instant schedule adjustments.
  • Memory Card handoffs after each session fed our editor a continuous stream of content.

Using Adobe Lightroom, the editor ingested and organized each batch by photographer, time, location and session. Each file was tagged with the appropriate metadata and renamed using a consistent structure (e.g., 2025-10-06_ReidHoffman_Mainstage_Presidio.jpeg ), then exported to a fully searchable online gallery organized by day, subject and location.
